Manager, Programming
Job Title: Manager, Programming
Department: Programming
Reports to: Senior Director, Programming
FLSA Status: Exempt, Salaried
Hours: 37.5 hours per week, includes weekends and evenings
Broad Function:
This position is responsible for the ongoing, successful management of the programming of events, production advance, event management and settlement of a portfolio of events.
Duties and Responsibilities:
- - Work with Senior Director of Programming and Programming Manager to ensure successful planning and execution of events.
- - Serve as the Programming Department’s central source for document flow: contracts, deal memos, riders, license agreements, contract amendments, addenda, and other important event documents are administered by this individual.
- - Prepare and facilitate the routing, execution, and timely return of contracts for resident companies and local arts events, seeking input and approval from appropriate parties, including but not limited to finance, programs and front-of-house.
- - Work in Momentus or other appropriate booking software to secure calendar holds for events.
- - Respond to general inquiries regarding rentals of The Bushnell.
- - Meet with local-arts clients to ensure successful event planning and management, and to serve as liaison between clients and other Bushnell departments, including box office, marketing, front-of-house and facilities sales.
- - Assist with show advances, exchanging coordination details with artist representative(s).
- - Coordinate the fulfillment of all administrative functions related to rental contracts/license agreements, internal event outlines and technical riders.
- - Serve as an on-site event manager as assigned, which includes working some evenings and weekends.
- - Coordinate event ticketing information with box office staff, creating seating maps as necessary.
- - Create and update Excel spreadsheets, Word documents, and PowerPoint presentations as necessary.
- - Create, organize, and file event folders – both hard copies and electronic versions.
- - Assist with fulfillment of artist contract/rider requirements.
- - Attend regular department meetings to ensure smooth and successful execution of events.
- - Liaise with other departments to provide the most efficient and excellent support of client needs.
- - Maintain excellent working relationships both internally with other departments and externally with clients and other stakeholders.
- - Follow HIPAA & ADA guidelines/regulations while handling confidential information obtained from workers.
- - Consistently and continuously identify and implement AI tools and emerging technologies that streamline workflows, enhance individual productivity, improve data analysis, and increase the overall efficiency and impact of organizational operations.
- - Successfully perform other duties as assigned.
Education, Experience, and Skills:
- - College degree and at least four years of experience
- - Prior working experience in theatrical production, concert production or event planning is preferred, but not required.
- - Exceptional knowledge of Microsoft Excel and Word, as well as other computer applications
- - Strong Communication Skills: Proficient in both written and verbal communication, with an ability to connect effectively with others.
- - Effective Time Management: Skilled at prioritizing tasks and meeting deadlines even when juggling multiple responsibilities.
- - Tech-Savvy: Highly efficient in navigating various computer programs.
- - Collaborative Team Player: Works well with others and contributes positively to team dynamics.

Human Resources Coordinator (Part-time)
Job Title: Human Resources Coordinator (Part-time)
Department: Human Resources
Reports to: Manager, Human Resources
FLSA Status: Non-Exempt, Hourly
Shift: 20-25 hours/week, may include occasional nights and weekends
Broad Function:
Provide administrative support to the Human Resources Department, including office services.
Duties and Responsibilities:
- - Work with HR Manager to coordinate and execute the onboarding process as necessary for The Bushnell, Hartford Symphony Orchestra and Warner Theatre:
- - Order name badges and business cards
- - Update phone lists and organizational charts
- - Process background checks with vendor
- - Process enrollments, changes and terminations for all benefit plans accurately and in a timely manner.
- - Coordinate leave programs and policies. Track activity pertaining to CT Paid Leave, FMLA, and COBRA.
- - Prepare COBRA letters for Warner Theatre using CT COBRA template.
- - Track Harassment Training completion for all venues and print completion certificates filing in personnel files.
- - Support various projects/assignments in collaboration with Bushnell staff.
- - Order and distribute annual Employment Law Posters for all venues.
- - Reconcile and process HR invoices in Beanworks.
- - Coordinate room reservations for staff using the Momentus system.
- - Handle service calls and monitor supply needs for the organization. Identify ways to minimize and control office supply costs.
- - Consistently and continuously identify and implement AI tools and emerging technologies that streamline workflows, enhance individual productivity, improve data analysis, and increase the overall efficiency and impact of organizational operations.
- - Process daily mail.
- - Performs other duties as assigned.
Education, Experience, and Skills:
- - College degree with 2-3 years of related experience and/or similar experience/training preferred. Experience in HR administration preferred.
- - High level of technical competency including MS Word, Excel, and PowerPoint. Ability to learn new technology easily.

Internships
Internships at The Bushnell are designed to offer challenging and educational field experience related to an individual’s particular area of interest in arts and business administration. Volunteer intern opportunities may be available in several departments. Interns are assigned to departments based upon organizational needs and the interest of the intern.
